Clubs' Courses

I. Policy

1. Clubs are welcomed to organise their own Galaxy Rowing Course throughout the year, on condition of sufficient resources in terms of time, equipment and facilities, and following the application procedures. There are three types of courses:

Type of Course Clubs entitled to organise the course Source of Coaching Fee
I. Club LCSD Course Community Sports Clubs (CSCs) LCSD
II. Club non-LCSD Course All HKCRA Affiliated Clubs Affiliated Clubs¡¦ own finance
III. Club Private Course All HKCRA Affiliated Clubs Affiliated Clubs¡¦ own finance

Type I courses are those scheduled by the CSCs themselves, and also those that are assigned by HKCRA in each Phase (every three months)*. Only Open Clubs such as CSCs are entitled to organise this type of course.

Type II & III courses are those scheduled by the Affiliated Clubs themselves. All HKCRA Affiliated Clubs can organise this type of course.

2. Clubs organising both types of courses have to find coaches for their courses. These coaches must be HKCRA Centre User and registered coaches.

3. Ratio between participants and coach for 1 course:

Max. 12 pax. : 1 Level 1/2/3 coach + 1 Assistant Coach
Continuous Sweep Rowing/ Sculling 8 pax. : 1 Level 2/3 coach
Max. 12 pax. : 1 Level 2/3 coach + 1 Assistant Coach

4. Administration and equipment charges are as follows:

5. All Clubs should appoint a Course Representative for Club Course co-ordination. All future correspondence and agreement will only be dealt with the authorised representative as appointed. The Club should bear the responsibility of informing HKCRA of any change in the Club¡¦s Course personnel.

6. The allocation of courses will be on a quota basis, especially when there is overwhelming application. Open Clubs will be notified of the quota of Type I course in advance of the beginning of the Phase.

7. HKCRA will not be liable for any missing mail or fax. Incomplete application form submitted or inappropriate fees paid for courses will not be further processed. The Clubs should phone up to confirm the reception of the application with HKCRA.

8. Confirmation of the application will only be effective if payment is received by HKCRA prior to the deadline stated.

9. All payment should be made by crossed cheque only made payable to ¡§Hong Kong, China Rowing Association¡¨. Directly deposit of course fee can be made to the HSBC Account (002-6-187443), please fax back the payment slip or email with Reference No. (if using eBanking) to HKCRA with your club¡¦s name written on it.

10. Late payment for course will not be accepted and the Club would no longer be considered interested in organising the requested course.

11. In the event of extra participants, cancellation or date alteration of any course, written notification to HKCRA is required from the concerned Club. We reserve the right to levy administration charges for such cases. (see Club Galaxy Rowing Course ¡V Fees Table)

12. No refund will be made under any circumstances once payment of the course is made.

13. HKCRA reserves the right to reallocate or cancel any course, or rearrange the schedule for the Club; such Clubs will be notified in advance of the changes.

*Details of courses assigned to CSCs in each Phase are on a separate policy from this one which will be issued in due time

IV. Application Procedures
1. The Club should complete the relevant Application Form for the courses.

2. Application deadline is a minimum of 3 working days before the scheduled course is to commence. Applications are processed on a first-come-first-serve basis.

3. Clubs should receive a confirmation slip on confirming the courses.

4. The following items must be submitted to HKCRA at least 3 days before the course is to commence:

a) Course Fee ¡V payment must be made before the deadline stated in the confirmation slip.

b) Individual Declaration Form - each participant of the course is required to fill in an Individual Declaration Form. The person-in-charge should confirm that each participant has filled in the required form. HKCRA has the right to reject any participants to enter for the course if insufficient information is given.

c) Attendance Record ¡V complete the blank of course code, date of course, name of participants and name of coach.

Should any of the above items be missing by the deadline, the course application would be processed.

5. If a Club does not receive confirmation after 2 days of application, due to missing mail or non-transmission of documents, the Club¡¦s Course Representative should phone up for confirmation of the courses.

6. Upon completion of the last session of courses, the Club Course Representative must submit the following documents:
a) completed Attendance Record with endorsed Club Chop
b) completed MPF Declaration Form for Type I course
c) completed course Questionnaire

Should any of the above documents be missing by the deadline, further course application would not be accepted.
